• ‘Your school’ refers to the school of which the person who will be receiving the meal that has been pre ordered attends.
• The term ‘you’ refers to the user who is placing the order or is a viewer of our website.

• ‘Meal recipient’ refers to the person who will receive the meal in your school that has been order on behalf of you.
• The term The Orchard Contract Catering Meal Ordering Portal refers to the application whereby the meals are ordered on our website.
• The term ‘your account’ refers to your personal log in information to access the meal orders.

This Website Is Subject To The Following Terms Of Use

The following terms apply to all orders processed on The Orchard Contract Catering Meal Ordering Portal. Please read the terms and conditions carefully before placing and order.

• You are consenting to your school proving us with information required to provide a school meal for the meal recipient. This includes but not limited to the Childs full name including known as, year group, class name, parents or guardian full name or names, contact number or numbers and email address or addresses and a photo to identify the meal recipient when serving the meal.

Your Account

• It is your responsibility to check that all information we hold on your account is correct. This includes but not limited to Childs full name including known as, year group, class name, parents or guardian full name or names, contact number or numbers and email address or addresses.
• The account has been created for you to order meals for the meal recipient.
• It is your responsibility to order the meal that is suitable for the meal recipient. We recommend you share this experience and discuss the meal options when placing the order. This avoids any disappointment when handing the food to the meal recipient as we will not be able to change the meal at this point.
• It is your responsibility to provide the correct allergy information for the meal recipient.

Your Meals

• Pre-ordering is a declaration of your meal preference for the meal recipient. This does not guarantee that the pre-ordered meal will be delivered.
• Your school lunch consists of a main course with includes vegetables and a dessert.

Changes To Your Meal Choices

• Occasionally we may need to change the meal choice you have confirmed.
• We will make every effort to supply the meals you have ordered. There may be occasions where this is not possible, in which case an alternative meal will be provided. The meal we will provide will be a nutritious alternative. The meal will be a suitable substitute for the meal recipient’s dietary needs if this has been disclosed on the The Orchard Contract Catering Meal Ordering Portal.
• The meal will be amended on The Orchard Contract Catering Meal Ordering Portal to reflect the change.
• When a meal choice has been changed you will be notified of the change and be prompted to amend your orders accordingly. Failure to select an alternative meal will result in the meal recipient receiving the amended meal choice.
• Occasionally we may need to cancel the pre-booked order if the change is not a like for like substitution. You will be notified of this cancellation and we will inform your school in a timely manner.
• We try to avoid making changes to The Orchard Contract Catering Meal Ordering Portal at short notice unless it is absolutely necessary.
• If changes are made after 9am on the day the change is required, we will notify you by email and also ask your school to communicate the change to the menu to you. Due to the late notice amendments to pre-orders will not be possible.

Special Diets

• The Orchard Contract Catering Limited will endeavor to provide amendments to the meals for meal recipients with genuine dietary allergen requirements.
• Documentation is required from a medical professional to confirm the allergies.
• Once we are in receipt of the medical evidence, it can take up to three weeks to create the menu.

Debt

The Orchard Contract Catering Limited operate a no debt policy.

• If your account has insufficient funds, then this must be settled within five working days.
• Failure to comply with our policy may result in the account being suspended.
• Suspended accounts may result in any orders being cancelled and we will inform the school. No further orders will be processed until the account is cleared.
• Your account is provided to you to provide a meal for the meal recipient, you are responsible for any debt accumulated on the account for unpaid meals.
• If your account is in debt and you believe the meal recipient could be entitled to free school meals, please contact your school to avoid suspension of the account.

Allowances

• If the meal recipient is entitled to free school meals than your account will be updated with this information and no payment will be required.

Refunds

Refunds will only be processed for paid meals in the following circumstances.

• Your pre-ordered meal choice was not provided.
• A significant part of the pre-ordered meal was unavailable and no suitable alternative was available.
• If you have cancelled the meal before the daily cut-off.
• If you have a credit balance on your account and would like a refund, this can be processed by emailing our office team to request this. Please send such requests to Office@theorchardcontractcatering.co.uk All refunds will be processed within seven working days.
• We will not be able to provide a refund if you have failed to cancel the meal before the daily cut-off.

Payments

• All meals should be paid for when pre-ordering. The Orchard Contract Catering Limited do not provide credit to customers.
• All card payments will add funds to your account, this does not automatically order meals for the meal recipient, you must select the days you require a meal on The Orchard Contract Catering Meal Ordering Portal.
• Meals can be selected in a block booking or ad hoc days. Please ensure you complete the purchase to avoid disappointment.
• Your school may be liable for an additional booking fee, this will be a fixed fee and charged at the time of booking.
